Personnel Files

 
It’s important to have a personnel file for every employee. There needs to be a place to collect documentation related to each employee. There are many documents that should be included in a personnel file as well as kept on file elsewhere. Employment applications should be kept in the personnel file. However, I-9 forms should not be, as there is information on the form that supervisors or managing employees should not have access to. These forms should be kept in a separate place, readily available for a potential audit. All discipline documentation should be kept in the personnel file, from notes on a verbal discussion to a written warning, it should all be included. Medical information and regular personnel file documents should also be kept in the personnel file.
